Room Reservation Policy & Agreement
The Nashville Bar Association offers its conference rooms to be used for arbitrations, mediations, meetings, depositions, and other events for attorneys who need a convenient place to meet in downtown Nashville. We have a spacious Conference Center and a smaller Board Room—both of which have free guest Wi-Fi access, phone- and video-conferencing—available for your use. The Conference Center seats up to 50 people and the Board Room seats up to 14 people.
Please note the following Terms & Conditions regarding this policy:
Rooms are available during regular business hours—8:30am to 5:00pm Monday through Friday—exclusive of holidays. After hours and weekends are available at an additional cost.
A non-refundable deposit of 25% of the total amount for the room reservation is required at the time the room is reserved, and final payment (if applicable) must be made by credit card or check on the first day that the room(s) will be used.
. The Conference Center and/or the Board Room may be reserved by NBA members at no charge for a half-day day or $350 per room for a full day. For non-members, the rates are $500 for a half day and $950 for a full day.
Catering services or outside vendors may serve or deliver food to both the Conference Center and/or the Board Room. Renter must use approved catering vendor. Beverages such as coffee, tea, and soft drinks are included in the room rental fee and are available in the NBA kitchen.
If you need copies made or wish to send a fax, please ask our Office Manager to assist you. Any copies or faxes in excess of 10 pages will be billed (in addition to your room rental charges) at $.50 per page.
The rooms must be left in clean condition. The NBA is a smoke-free facility.
The Nashville Bar Association will not be held liable for compensation of any kind for loss or damage due to circumstances beyond its control—which includes, but is not be limited to—mechanical failure of the building systems and equipment, fire, weather, war, states of emergency, labor strikes, failure of utilities, or of acts of God. The NBA will not hold the Renter responsible for causes beyond his/her control, which may preclude the use of the building after a rental agreement has been signed.
Renter agrees to accept full responsibility for any damages or exceptional costs to the NBA occurring as a result of use of the room(s) for this event. The Renter agrees to indemnify and hold harmless the NBA for all claims that might be asserted against the NBA or any of its employees or agents for any property damage, bodily injury, or death, including reasonable attorney fees incurred in the defense or payments reasonably made to satisfy such a claim, including any claim arising out of the serving to or consumption of alcoholic beverages by any attendee at the event.
